Description
The AMS is seeking a Meetings Content Coordinator who will be a key member of the Meetings Planning team. This position requires regular interactions with external scientific experts within the weather, water and climate community through written and verbal communications. The position will be responsible for supporting program content and development for all meetings and conferences. The ideal candidate must demonstrate the ability to multitask and be responsive to customer needs. The Meetings Content Coordinator will report directly to the Assistant Meeting Manager(s).
Responsibilities include but are not limited to:
Proofread, edit, and report on conference program content as needed.
Ensure logistical details including hybrid meeting platform, live session production, program development, and attendee interaction for hybrid meetings are planned effectively.
Provide courteous, clear, and comprehensive support and training to volunteer organizers, presenters, and attendees.
Coordinate assembly of online conference programs and attendee materials.
Maintain open communication with stakeholders and leadership.
Create correspondence on behalf of the meetings team and program organizers.
Obtain a working knowledge of internal and external technologies related to meetings (such as abstract management platform, registration systems, website editing platform).
Coordinate with the meetings team to track budgets to ensure revenue and expenses are kept within established boundaries and reconcile event bills.
Manage assigned projects and timelines for a variety of meetings.
Perform the essential functions of the position and other duties as required for the overall success of the Society.
This is a full-time position located in our Boston office. The department has a hybrid schedule, with a few days in the office and a few remote. With this position, travel will be expected for onsite support. Salary is commensurate with experience. Requirements
Associate or bachelor's degree or equivalent combination of education, training and experience.
1-2 years of relevant experience, preferably in an academic, government, non-profit, or scientific research related organization with direct work in conference planning preferred.
Ability to multi-task and prioritize projects across all stages of the meeting cycle.
Excellent interpersonal skills.
Excellent written and verbal communication skills showing consistent reliability and follow-through.
Strong organizational skills with a substantive attention to detail.
Required proficiency in Microsoft Office Suite, Google workspace, and basic web content editing, with the ability to learn to use other software.
Preferred proficiency in Cvent or similar event software.
Availability to travel to 2-3 week-long meetings per year.
Demonstrated success working in both independent and team-oriented environments to meet department goals.
