Description

The Gordon Parks Foundation permanently preserves the work of Gordon Parks, makes it available to the public through exhibitions, books, and electronic media and supports artistic and educational activities that advance what Gordon described as "the common search for a better life and a better world." The Foundation is located in the heart of Pleasantville, New York—one hour via car, or one hour via Metro North from Grand Central Station.

Reporting to the Executive Director and Programs Director, the Programs Coordinator performs a variety of tasks in support of the Foundation’s mission. This includes coordinating and assisting with day-to-day administrative tasks related to operations, programs, publishing, communications, sales transactions, fundraising activities, and collection-related tasks. The Programs Director acts as liaison between the Foundation’s team and a wide range of collaborators. The position is full-time with benefits, salary commensurate with experience.

Responsibilities Include:

  • Report to and work closely with the Executive Director and Programs Director.
  • Intermediary between the Executive Director, Programs Director and one or more of the primary staff. Liaise with financial and business staff members. Staff and manage interns/volunteers and temporary employees.
  • Oversees Foundation’s master calendar. Coordinate travel and accommodations for staff and visitors as necessary.
  • Coordinate bi-annual board meetings.
  • Maintain mailing lists and other databases.
  • Respond to inquiries on behalf of the Foundation as needed.
  • Coordinate digital communications such as eblasts.
  • Coordinate invoicing and tracking of all print sales in collaboration with the archive team.
  • Manage all aspects of reproduction requests.
  • Act as main point of contact for all partnered exhibitions and projects. Manage contracts, reproduction requests, budget, and additional object-related requests. Maintain records of all exhibitions.
  • Act as project manager for partnered book projects. This includes file management, budget, and schedules. Maintain records of all publications.
  • Coordinate fundraising appeals. This includes processing all donations and running financial reports.
  • Coordinate annual gala in collaboration with Foundation’s event planner. This includes processing all donations and maintaining master invitation list.
  • Coordinate implementation of fellowship and scholarship grants. This includes maintaining recipient and candidate records; receiving, compiling, and reviewing applications; and completing award letters and financial disbursements.


Requirements

  • Bachelor’s degree desired. Arts administration background preferred, knowledge of photography a plus.
  • Minimum 3 years of experience at a non-profit organization or related field.
  • Must have a high degree of professionalism, discretion, flexibility, and strong written and verbal communication skills.
  • Demonstrated organizational and time management skills, ability to multi-task.
  • Advanced proficiency in Microsoft and Google office applications; FileMaker, InDesign, Photoshop, and other design applications strongly preferred.
  • Schedule is Monday through Friday, 9:00a–5:00p. Onsite office hours are required, and position may occasionally require availability on nights and weekends.
