Job Type: Full-Time
Location: Remote with travel up to 25%
Our association client is seeking a Senior Conference Manager to join their team. The senior manager is responsible for leading, planning, and executing flagship annual conference, mid-year seminar series, and related educational and online programs. This role owns the full conference content lifecycle — from call for proposals and program design through speaker management, onsite delivery, and post-event evaluation — while supporting year-round virtual and in-person programming.
Responsibilities
- Design, launch, and manage the annual call for speaker proposals and submissions for the primary conference and mid-year seminars.
- Administer and optimize the online abstract management and review system, ensuring a smooth and user-friendly experience for submitters and reviewers.
- Lead the Program Committee, including setting timelines, facilitating meetings, coordinating reviews, and driving consensus on final program selections.
- Serve as the primary liaison for all program speakers and moderators (keynotes, panelists, workshop leaders), providing clear guidance, deadlines, and expectations.
- Build, maintain, and regularly update the online conference agenda, including session descriptions, speaker bios, and schedule changes.
- Collaborate with the Meetings & Events Manager to support awards programming, including criteria development, nomination review logistics, and ceremony integration into the conference.
- Oversee planning, production, and post-event analysis of webinars and other virtual content, including scheduling, speaker coordination, and platform management.
- Provide staff support to internal committees focused on women’s initiatives, research, and thought leadership, helping to translate committee goals into program content.
- Contribute to the planning, promotion, and logistics of education and training programs, including academies and special learning tracks.
- Assist with recruiting, confirming, and managing featured and VIP speakers, and provide hands-on onsite support during the annual conference and mid-year seminars.
- Partner closely with marketing and communications teams to promote call for proposals, speaker announcements, program highlights, and educational offerings.
- Track key program metrics (attendance, engagement, feedback) and recommend improvements to content strategy and event design.
Requirements
Requirements
- Bachelor’s degree in Business, Marketing, Communications, Event Management, or a related field preferred, or equivalent relevant experience.
- Certified Meeting Professional (CMP) and/or Certified in Exhibition Management (CEM) preferred.
- Demonstrated experience in conference or event program management, including speaker and content coordination, is strongly preferred.
- Strong customer service orientation with the ability to build and maintain positive relationships with a diverse range of stakeholders.
- Experience using Zoom (or similar video conferencing platforms) as a host or producer is preferred.
- Familiarity with online abstract systems, event management platforms, or CRM tools is an advantage.
- Direct supervision of a Conferences Coordinator, including workload management, coaching, and professional development.
- Travel required up to 25%, including travel to Honolulu, Hawaii for the annual conference and at least quarterly visits to the main office.
- Ability to work flexible hours, including early mornings, evenings, or weekends during peak event periods.
