Description
SummaryThe Senior Event Planning Manager is an experienced hotel sales role that reports directly to the Director of Events. Responsibilities include planning, detailing, and managing all aspects of client meetings and events. This position is open to both remote and on-site candidates. Remote candidates must be able to travel frequently and as needed to the hotel to conduct client meetings, event management, and hotel projects.
General Responsibilities:
• Performs related duties and special projects assigned.
• Is fully aware and adheres to Grand Hyatt Standards, policies and procedures.
• Maintains working area and equipment in a proper state of cleanliness and repair.
• Attends and participates in daily briefings, meetings and training sessions as required. Complies with hotel's health, safety and hygiene policies and adheres to conduct, personnel grooming and hygiene standards.
• Frequent travel flexibility- as needed
Job Specific Responsibilities:
• Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
• Manages group room blocks and meeting space for average to large-sized assigned groups.
• Identifies operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges and/or develop alternative solutions.
• Uses his/her judgment to integrate current trends in event management and event design.
• Acts as liaison between sales person and customer throughout the event process (pre-event, event, post-event).
• Participates in customer site inspections and assists with the sales process as necessary.
• Assists in the sales process and revenue forecasting for customer groups.
• Up-sells products and services throughout the event process.
• Facilitates various meetings as he/she perceives necessary (Banquet Event Order meeting, block review, etc).
• Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill.
• Solicits feedback from the property departments to identify areas for improvement to enhance the Event Planner's experience.
• Trains and mentors new Event Managers
• Acts as key holder for all event systems
• Assists the ADOE/DOE in their absence.

Qualifications
• Hospitality degree preferred
• 4+ years or more of progressive Event experience, preferably in a hotel
• Prior Delphi, Envision, Opera, and Hyatt systems expertise desired
• Advanced user of Microsoft Word and Excel
• Extremely Detailed oriented
• Demonstrated ability to effectively interact with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds
• Must possess the following strengths: high energy, entrepreneurial spirit, motivational leader, effective communicator, effective in providing exceptional customer service and ability to improve the bottom line
• Clear concise written and verbal communication skills in English
• Must have excellent organizational, administrative and problem-solving skills and creativity
Physical Aspects of the Position:
Physical aspects of the position include but are not limited to the following:
• Frequent sitting and walking throughout shift
• Occasional kneeling, pushing, pulling, lifting
• Occasional ascending or descending ladders, stairs and ramps
