This position will work with the VP of Global Events in planning and executing global summits, regional conferences and smaller forums ranging from 200-3000 attendees. Responsibilities include implementation of global events with a focus on event strategy, attendee experience and collaborative planning to achieve quantifiable results.
ESSENTIAL JOB DUTIES
Manage the end-to-end planning and execution of CoreNet Global's events portfolio under direction of the VP of Global Events
Serve as the primary operational point of contact throughout the event lifecycle
Lead the RFP process for DMCs and event related vendors
Serve as primary on-site logistics manager to ensure seamless execution from load-in through load-out
Coordinate all food and beverage logistics and post-event F&B reconciliation in partnership with venue catering contacts
Support exhibit and sponsor logistics
Manage on-site temporary staff needs
Develop and maintain comprehensive event guides
Expense and budget management
Build and maintain detailed project management plans
Manage and nurture relationships with all event contractors and service partners
Manage staff and VIP housing blocks and rooming lists for all Global Events
Collaborate with the registration manager on all registration operations and attendee flow
Research, identify, and support the application and fulfillment of grant opportunities and other funding sources
Partner with the marketing department to coordinate event collateral, website updates, and onsite signage and displays
Collaborate cross-functionally with internal departments to confirm logistical considerations
Produce weekly and post conference reports for executive review
Requirements
QUALIFICATIONS AND REQUIREMENTS:
Minimum 6 years of professional experience successfully planning and executing large-scale conferences and exhibitions, both domestically and internationally.
Certified Meeting Professional (CMP) preferred.
Demonstrated experience managing city-wide events in convention centers and hotel environments for audiences of 200–3,000 attendees, including events held in union cities and facilities.
Hands-on experience sourcing, evaluating, and contracting destinations, venues, and event service providers.
Familiarity with grant application processes and fulfillment requirements.
Comfortable managing multiple concurrent projects under tight deadlines
Must be highly proficient in Microsoft Office Suite, with advanced Excel skills required including pivot tables, VLOOKUP
Comfortable learning new event technologies and platforms.
Requires both domestic and international travel.
Exercises sound professional judgment and decisive problem-solving under pressure
WORK ENVIRONMENT /TRAVEL REQUIREMENTS:
Corporate office open seating
Remote office environment with individual workspace required.
On-site meeting support may require extended hours of work.
Vacation should be planned in advance and not taken during peak meeting periods.
15% travel required, domestic and/or international. Candidate must have no international travel restrictions.
